Who is responsible
The Sickle Cell Awards voting platform is run for Mental Health Focus Uganda and its organising partners.
To be confirmed: The registered legal operator, postal address and data-protection contact will be published here before voting opens.
Information we collect
Voter account: your email address, a securely hashed password if you set one, email confirmation status, sign-in method and sign-in session records.
Your ballot: the nominee and category you chose, the time, a receipt number and a random request number used to prevent accidental double submission.
Your name: requested at voting time but not stored.
Your phone number: not stored in readable form. It is converted into a keyed, one-way code that is used only to stop the same number voting twice in a category. Your account is linked to your ballots in the same protected way.
Network address: used briefly, in coded form, to limit repeated attempts. Raw IP addresses are not stored with ballots, although the sign-in service may keep them in its security logs.
How it is used
To confirm your account, record and count your votes, enforce the one-vote-per-category rules, show you your own votes and receipts, protect the platform from abuse, and let authorised organisers produce aggregate results.
We do not sell your information or use it for advertising.
Where it is kept and who can see it
The website, the sign-in service (open-source Supabase Auth) and the database all run on a private server rented from Hostinger in the United Kingdom, separate from other systems. Ballot data is only reachable by the website server, not directly from the internet.
Sign-in and confirmation emails are sent through the Brevo email service. If you choose Continue with Google, Google shares your name and email address with the site so you can sign in.
Organisers see totals and ballot records without names, phone numbers or email addresses. Staff sign-in requires an authenticator app, and changes to voting status are logged.

Cookies and storage
Essential cookies keep you signed in securely. They cannot be read by page scripts.
Your browser stores your light or dark display preference, and while a vote is being submitted, the nominee and a random request number so an interrupted submission can be checked. Your name and phone number are never stored in your browser.
No analytics, advertising or social-media tracking is used, so there are no optional cookies to accept or decline. If that changes, you will be asked for consent first.
How long we keep it and your choices
Ballots are kept for the duration of the awards so that results can be counted and checked.

To be confirmed: The retention period after results are announced, and the process for access, correction and deletion requests, are awaiting organiser approval.
